Hospice Rozenheuvel has provided palliative care in a warm, home like setting since 1994. Since 2025 it has operated as an independent foundation, with a focus on quality of life, comfort and personal attention for guests and their loved ones.That independence also brought new responsibilities. Processes that used to be part of a larger organization had to be set up again, and that certainly applied to IT. From workstations and telephony to applications, infrastructure and data management, everything had to be rebuilt.
Separating from the parent organization brought a unique challenge. Within a limited timeframe, a completely new IT environment had to be operational, without affecting daily care for guests. "We had to move from a large organization to an independent, small one," says Lonja Koster. "And within a short time, everything needs to be arranged: telephony, hardware, software, the IT environment, you name it. It was a huge operation."Trust played an important role in choosing an IT partner. Experience from earlier collaboration had been positive, and the lines of communication were short, which proved especially valuable in a process with so many dependencies.

The biggest challenge was not just technical, it was above all the combination of time pressure and continuity. While new systems were being set up, care for guests had to continue without interruption.Information security also plays an increasingly important role in healthcare. Privacy sensitive data needs careful protection, and staff need to be able to work safely without technology becoming an obstacle. "GDPR is one of our most important responsibilities," says Lonja. "The responsibility sits with us, but it matters a great deal to have a partner who can think along on where the improvement points are and how to prevent issues." Knowledge and support on the work floor mattered too, since not every employee has a technical background, while digital tools are used every day.
Together with Reliance (formerly Brightcare), a completely new IT environment was set up within a short time. New laptops, new infrastructure, new systems and a secure digital workplace for every employee. "Actually, the foundation was already in place before we officially started as an independent organization," says Lonja. "And over the past year we have continued together with the separation and optimization."Support does not stop after implementation. An important part of the service is the combination of a service desk for daily questions and fixed onsite support. A functional manager from Reliance visits monthly to help users, answer questions and roll out improvements. Reliance also supports topics such as security awareness, AI, continuity questions and changing laws and regulations, with the collaboration shifting increasingly from operational support toward strategic input.

"Not all our employees have an IT background. It really helps to have someone present with patience, understanding and clear explanation."According to Lonja, the strength of the collaboration lies precisely in that combination of expertise and involvement.
